Mandatory rules

The travel conditions are based on the University’s travel policy. The traffic light system is the ultimate decider on whether a person takes the train or the plane.

Yes, the use of the travel platform for university business trips is mandatory for employees from 1 January 2023.

Yes, the travel platform offers a comprehensive range of services for international train travel that is based on the content and offerings of the major railway companies. Please note the information in section train travel

In Switzerland, members of the University can use the SBB Business Travel Center, with which travel can be booked and billed easily using an app. Trips to airports by train can be booked through the travel platform. Please note the information in section train travel

No, the official travel policy does not apply to students. If you need to organise a student excursion where part of the travel costs are financed by your institute, you can book through the platform.  Service fees for customer service are paid by the university in such cases.

The business travel guidelines apply if the travel expenses are to be covered by the University of Bern. If you are arranging the trip for an external person, you may book it through the travel platform or the customer service.If you don't do so, the reimbursement process is via the "Spesenformular". The business travel guidelines do not apply if the University of Bern is not covering the travel expenses.

Consulting and booking

Booking requests can be submitted to the Customer Service team of Lehmann Reisen AG either in person, via e-mail or by phone. Alternatively, you can also book the trip on your own using the myCWT online booking tool. Instructions on how to use the online booking tool can be found under before you start. Important: Please note the information provided under Registration. A personal user profile is needed in order to book trips via the myCWT online booking tool.

Important: Before you can use the myCWT online booking tool, you first have to have a user profile. Please read the instructions provided under Registration to get a profile with the most vital personal details.

You can use your campus account username and corresponding password to log into the online booking tool at www.dienstreisen.unibe.ch

Yes, that is possible. All people involved need a myCWT profile for online bookings. So-called Travel Arrangers can then be added in the Profile view under “Ordering and Approving Parties”. You will find an instruction video under Using the Online Booking Tool.

Travel can also be booked on the myCWT online booking tool even without a profile by contacting the Customer Service team.

Please send your booking request to the Customer Service team of Lehmann Reisen AG. They will prepare an offer for you quickly and ensure that the reservations are complete for all individuals.

If the connection is not available, please book your travel on location as usual instead of via the travel platform. That applies in particular for tickets to use local public transportation, which frequently cannot be booked in advance, for flights abroad handled by very small airlines or for other informal means of transport (catching a ride on a container ship, etc.). You must then submit those travel expenses via the expense form.

Customer Support generally handles urgent changes to bookings within just a few minutes of receiving your request. The new tickets will be sent to you via e-mail and the myCWT app for mobile devices, if applicable.

Tickets issued by Lehmann Reisen can generally be exchanged and canceled to ensure that financial losses are minimized.

Private travel

Only private journeys that are linked to a University business trip can be booked, for example a weekend added to the end of a trip.

Yes. 

That is possible in principle. In this case, however, we recommend booking the trip through the Customer Service team of Lehmann Reisen AG so your personal invoicing information can be entered for the trip. 

Costs

The travel expenses are charged to the credit of the traveler. The corresponding credit reference number must be specified at the time of booking. The billing process then takes place centrally and you no longer have to submit any receipts for expenses incurred for flights, train travel or rental cars. 

However, the travel agency service is borne centrally by the University as a whole. This means that there are no additional fees for the institutes.

You may book the trip via the Customer Support. They will be able to have Lehmann Reisen send the invoice for travel costs directly to the institute that extended the invitation. Alternatively, you can have the travel costs reimbursed by the host at a later point in time.

You can book your trip via the myCWT online booking tool or Lehmann Reisen’s Customer Support. Then send the travel expense invoice to the University’s central invoice processing system. During the invoice verification process between the central invoice processing system and the institutes, all receipts can be downloaded in eForms. If you are paying for the trip in advance, however, please book it via the Customer Service team of Lehmann Reisen.

All travel expenses financed via a University credit reference number are processed via the University’s central invoice processing system. 

When booking a train travel there are two main options:

  • Booking NOT via SBB-BT, then reimbursement through travel expenses (Spesen)
  • Charging a certain credit, then transfer in eforms

Please book your trip via the Customer Service team of Lehmann Reisen. They will enter all invoicing details. Bookings made via the myCWT online booking tool are only set up so that they can be processed via a University loan reference number (REF number).

Accommodation bookings; special rates of Hotels in Bern

Yes. The booking channels provide access to an extensive network of accommodations. The platform also offers the option of reserving rental cars.

Special tarifs for the University from hotels in Bern (link to the financial department) are visible on the travel platform.

I prefer booking in small, independent accomodations near the conference veneu. Will this still be possible or is there a requirement to make reservations only at specific hotels?

There are no restrictions on the choice of accommodations. In case our preferred accommodation is not available on the travel platform, please book externally. 

In cases such as these, please book your accommodations directly through the organizer to take advantage of savings of this nature. Accommodation expenses will then be settled through the expenses form.

Compensation of CO2 emissions

Yes. The Personnel Regulations of the Canton of Bern as well as the Expenses regulations of the University of Bern prescribe the compensation of CO2 emissions caused by flights. Compensation is not made individually, but processed centrally. The details of the specific processes are still being defined.

The university is currently exploring suitable options for offsetting carbon emissions.
